Privacy Policy
Last updated: 20 October 2026
Accountability Assistant helps you plan and follow through on responsibilities across family, work, fitness, business, ministry and other areas of life. This policy explains what information the service handles, why, and the choices you have. In this policy, "we" and "us" mean the operator of Accountability Assistant.
1. Information we collect
Your account
- Your email address and, if you sign up with email, your password. Passwords are stored by our sign-in system in a hashed form; we cannot read them.
- If you sign in with Google or with Lovable, the basic profile details that provider shares with us, such as your name and email address.
- An optional display name you choose in Settings.
Your planning information
- Life areas — their names, colours and order. A starter set is created when you join, and you can change it.
- Tasks — title, notes, life area, priority, status, due date, scheduled time and duration, repeat schedule, reminder settings, top-priority flag, how often a task was rescheduled, the reason you gave for a change, and when it was completed or archived.
- Completion and change history — a record of each change made to a task (for example created, completed, skipped, rescheduled or archived), with before-and-after values and the time.
- Preferences — timezone, working hours, default task length, planning and review times, reminder settings, quiet hours and whether you want WhatsApp notifications.
- Reports are calculated from your tasks when you open the Reports page. They are not stored separately.
Technical information
- A sign-in token kept in your browser's local storage so you stay signed in. We do not use advertising or tracking cookies.
- Standard request information (such as IP address, browser type and time of request) that our hosting providers process to deliver the site and protect it from abuse.
WhatsApp messages
We are preparing an official Accountability Assistant WhatsApp number. When someone sends a message to that number, Meta (which operates WhatsApp) forwards it to us. Each delivery can include the sender's WhatsApp phone number or ID, their WhatsApp profile name, the message content and type, message IDs, timestamps, and delivery status updates (such as sent, delivered or read) for messages we send.
Current status
WhatsApp features are not yet available to customers. Today we only receive messages from our own test devices while we build and test the connection. Received messages are not linked to any account, are not used to read or change tasks, and we do not send replies or reminders over WhatsApp yet.
When WhatsApp features launch, we will also store: a link between your verified WhatsApp number and your account, a record of your consent to receive WhatsApp messages (including when you gave or withdrew it), and records of the replies and reminders we send you and whether they were delivered. We will update this policy before that happens.
2. Why we use it
- To create and secure your account and keep you signed in.
- To store, schedule and show your tasks, life areas, calendar and history, and to warn you about overlapping plans.
- To calculate your daily and weekly reports.
- To apply your timezone, working hours and reminder preferences.
- For WhatsApp: to confirm that messages genuinely come from Meta, to avoid processing the same message twice, to test the connection, and — once launched and only after you link and authorise your account — to let you manage your own tasks by message.
- To keep the service secure, investigate problems and respond to your requests.
We do not sell your information, use it for advertising, or share it with other customers.
3. WhatsApp: linking, consent and opting out
- WhatsApp task commands will only work for a WhatsApp number that has been properly linked to, and authorised from, a signed-in Accountability Assistant account. Sending a message from a phone number alone will never give access to an account.
- A linked number will only ever be able to see and change the tasks of the account it is linked to.
- We will only send you WhatsApp messages after you explicitly opt in, and you will be able to opt out or unlink your number at any time. Until WhatsApp launches, nothing is sent.
- Your use of WhatsApp itself is also governed by WhatsApp's and Meta's own terms and privacy policy.
4. Service providers
We use a small number of providers to run the service. They process information only to provide their service to us.
- Lovable — hosts the website and provides our database, sign-in system and server functions.
- Google — sign-in if you choose "Continue with Google"; it also serves the web fonts used on this site, which means your browser requests them from Google.
- Lovable sign-in — if you choose "Continue with Lovable".
- Meta Platforms (WhatsApp Business Platform) — carries WhatsApp messages between you and our official number.
These providers may process information in countries other than your own.
5. How we protect it
- All connections to the site use HTTPS.
- Every account's records are separated by access rules in the database, so a signed-in user can only read and change their own life areas, tasks, history and preferences.
- Received WhatsApp messages can only be read by our server. They are not readable from the website or by any signed-in user.
- Every incoming WhatsApp delivery must carry a valid signature from Meta, and must be addressed to our own WhatsApp business account and number, or it is rejected or discarded.
- Our service logs record outcomes and counts only — not phone numbers, names or message text.
- Access keys for Meta and other services are kept on the server and are never shown in the website.
No system is perfectly secure, but we work to protect your information and limit what we keep.
6. How long we keep it
- Account, preferences, life areas, tasks and history — kept while your account exists. Archiving a task hides it but keeps it so it can be recovered. Everything is deleted when you ask us to delete your account.
- WhatsApp message content — the full content of each received WhatsApp delivery (including phone number, profile name and message text) is erased automatically after 7 days.
- Remaining WhatsApp event records — the basic record left behind (event type, message type, our account and number IDs, timestamps and a duplicate-check key) is deleted automatically after 30 days.
- A daily automatic clean-up applies both WhatsApp limits.
7. Your choices and rights
- View and edit your tasks, life areas, display name and preferences at any time in the app.
- Ask us for a copy of your information, to correct it, or to delete it.
- Ask us to delete your whole account — see Data Deletion.
- Withdraw WhatsApp consent or unlink your number once that feature is available.
Depending on where you live, you may have additional rights under local law, including the right to complain to a data-protection authority.
8. Children
Accountability Assistant is not intended for children, and we do not knowingly collect information from them. If you believe a child has created an account, contact us and we will delete it.
9. Changes to this policy
We will update this page when our practices change — for example before WhatsApp features launch — and change the "Last updated" date above. For significant changes we will let signed-in users know in the app.
